Privacy Policy

This policy explains what Liberty Pines (“CheckCord,” “we”) collects when you use CheckCord, and what we do with it. The short version: your business records are yours, we process them only to run the service, and we never sell them.
What we collect
- Account information — your name, email, business name, and the identifiers your CRM shares when you install or sign in.
- Business records you create — dog profiles, training notes, voice recordings and their transcripts, photos and short video clips, skills and vaccination records, kennel assignments, report cards, and billing documents.
- Client contact information — names, emails, and phone numbers synced from your connected CRM so you can link dogs to their owners and send report cards.
- Usage and log data — standard technical logs (device type, timestamps, errors) used to keep the service running and secure.
How we use it
To provide the service: storing records, transcribing your dictated notes, extracting training details from them with AI assistance, generating report cards, sending the messages and documents you ask us to send, and supporting you when something goes wrong. We do not sell personal information, and we do not use your clients’ information for our own marketing.
Transcription and AI processing
Voice notes are transcribed by a speech-to-text provider, and note text may be processed by an AI provider to suggest structured details (skills practiced, equipment used, follow-ups). These providers process the content to deliver the feature — your recordings and notes are not used by us to train public AI models.
Where your data lives
Data is stored with established cloud infrastructure providers (database, file storage, and application hosting) in the United States, encrypted in transit. Audio, photo, and video files are stored privately and served through expiring links.
Service providers
We share data only with the providers needed to run CheckCord: cloud hosting and database, file storage, speech-to-text transcription, AI processing, email delivery, and your connected CRM (which sends and receives the messages, invoices, and contact records you direct). Each processes data on our instructions.
Retention and deletion
We keep your records while your account is active. If you uninstall or close your account, data remains available for export for 30 days, after which it may be deleted. You can request export or deletion at any time at support@checkcord.ai and we will act within 30 days.
Security
Access to production systems is limited and credentialed; traffic is encrypted with TLS; webhooks from connected services are cryptographically verified; and each business’s records are isolated from every other business’s. No system is perfectly secure — if we learn of a breach affecting your data, we will notify you promptly.
Your clients’ information
For your clients’ contact details, you are the controller and we process them on your behalf. If one of your clients asks about their information in CheckCord, we will route the request to you, or assist you in fulfilling it.
Children
CheckCord is a business tool and is not directed to children under 13; we do not knowingly collect their information.
Changes
If we make material changes to this policy we will give notice in the app or by email before they take effect.
